Job Description

The European Molecular Biology Laboratory (EMBL) is one of the highest ranked scientific research organisations in the world. The Headquarters Laboratory is located in Heidelberg (Germany), with additional sites in Grenoble (France), Hamburg (Germany), Hinxton (UK) and Monterotondo (Italy). 

Legal services are provided by two teams located at Headquarters: General Legal Services, and Legal Services to International Relations, both having distinct yet complementing areas of responsibility. These include collaborations with other scientific institutions and (member) states, research grants, safeguarding EMBL’s privileges and immunities, labour law matters and settlement of various types of disputes. 

The successful candidate will support the Heads of General Legal Services and Legal Services to International Relations as well as their teams, and liaise with support staff in the Offices of the Director General, the Administrative Director, the Director International Relations and others as necessary. 

Organizational and administrative tasks to be handled include:

  • Prepare correspondence, provide secretarial services, including legal filing;

  • Organize and coordinate meetings, both external and internal ones;

  • Under delegation, prepare or edit legal documents, presentations or spreadsheets;

  • Arrange travel and accommodation;

  • Arrange reimbursement of travel expenses;

  • Maintain intranet and internet web presence;

  • Assist in engagement of outside counsel and management of legal spend;

  • Prepare reports;

  • Perform legal research under delegation and depending on qualifications;

  • Continually develop and apply procedures to facilitate effective, efficient and professional office management;

  • From time to time, take minutes in meetings attended by the supervisors;

  • Back-up for the PA of the Director International Relations.

Qualifications and Experience

The successful candidate will possess excellent secretarial, administrative and organisational skills. The ability to pay attention to detail and to interact with people in a friendly and professional manner as well as an outstanding capability to work in a team is essential for this position. 

Furthermore, the appointed applicant will have strong interpersonal and verbal communication skills to interact tactfully and effectively with internal/external contacts at all levels and enjoy working in a challenging and dynamic working environment. Appropriate IT skills with a very sound working knowledge of Microsoft Office are expected, experience with a legal filing system a plus. 

Fluency in English and German is absolutely required. Good working knowledge in French is advantageous. 

The post holder must be service-oriented, possess good judgment, discretion, a pleasant telephone manner and the ability to maintain effective working relationships in a multi-cultural environment. Work experience in a similar position, preferably from a dynamic area in an international environment, is required. Experience in a legal department or a law firm is a plus.
